Children's Party Booking Terms & Conditions:

These Terms & Conditions are at the discretion of Hands-on Art Adventures and are subject to change at any point, without notice, to ensure the smooth planning, organisation and running of your booked party.

• Party bookings made more than 14 days before the party date are confirmed on receipt of a £50 deposit.  Deposits are non-refundable under any circumstances to cover cancellation and disbursement costs.  Please see Cancellation note below.

• Balance payments and final numbers are due no later than 14 days before the party if the agreed party activity items are all the same price; if the children are to have free choice on the day, an interim payment of £50 is due, with the final balance for the activity to be paid at the end of the party.  Balance and interim payments are not refundable.  If the balance or interim payment is not made by the agreed date ie. no later than 14 days before the party: Hands-on Art Adventures will automatically consider this lack of action to be a customer cancellation and will remove the booking from the diary.  The party slot will be automatically available to other customers.

• To make a party booking within 14 days of the party date: full payment is due at the time of booking (including food if applicable), based on the number of guests invited and the chosen activity (plus food if applicable).  This payment will reserve table(s) for the number of invited guests, at your allocated time, on the party date.  This payment is non-refundable.

• Payments can be made in person at the Studio during our opening hours* tel. 01753 206 265;  by Bank Transfer (details on request), or a SumUp payment link sent by email or to your phone by text.

• Booking Alterations: are subject to availability and require 14 days written notice ie. before the balance payment date.  Requests for alteration of date within 14 days of the booked party date is considered a cancellation and changes will constitute a new booking requiring a new deposit.  Deposits from parties cancelled within 14 days of the booked party date cannot be used towards a new booking.  There are no partial refunds in the case of "no-shows/guest non-attendance" or the party guest numbers decreasing between the balance payment and the party - more information below; payment is due per missing guest at the agreed party package price.

• Cancellation of the party at any point will result in loss of the £50 deposit.  If the balance or interim payment is not made by the agreed date ie. no later that 14 days before the party, Hands-on Art Adventures will automatically consider this to be a cancellation and will remove the booking from the diary.  Guest non-attendance at the party: details below.  If Hands-on Art cancels your party for eg. the Studio is forced to close on the date of your party by a Government Lockdown due to a pandemic, you will be offered an alternative date for your party or a credit note to the value of all monies paid to date.

• Guest non-attendance at the party: there are no refunds in the case of  the party guest numbers decreasing between the balance payment and the party, or in the case of "no-shows/guest non-attendance" at the actual party.  Hands-on Art cannot allocate empty places at the party table(s) to other customers.  Payment is due per missing guest at the agreed party activity price.  However, we can offer the party organiser these choices 1. replace "no-shows" with themselves, siblings or parents of attending guests; 2. at the end of the party Hands-on Art can provide a "take-away paint-at-home kit" for the missing guest(s) or for the birthday child: this kit must be returned to the Studio for firing within one month of the party.  

• All parties are allocated a specific time period to accommodate other bookings.  Please ensure your guests arrive and leave promptly - it is only fair that we are allowed sufficient time to prepare for the next party, in the same way that we will be prepared for yours.  Any party over-running will be charged an additional £15 per 15 minute period.

• Parties extending, or planned to take place beyond our regular opening hours are subject to a £30 per hour surcharge.

• The party organiser is obliged to attend throughout the party, to supervise and assume responsibility for the behaviour of their guests at all times, one additional adult for this role per 10 children can be included at no cost.  Guests must not be left at the Studio unattended at any time.  Hands-on Art is not legally responsible for any visitors.

• Please bear in mind that there will be other customers enjoying activities at the Studio during your party.

• Guest numbers: We can seat a maximum of 30 people comfortably in our Studio across 3 tables.  The party organiser is expected to attend throughout the party to supervise and be responsible for the behaviour of their guests at all times, one additional adult for this role can be included at no cost per 8 children.  Children aged 4yrs and under can be accompanied by one seated adult at no extra cost.  Any further additional non-activity party guests, including siblings/relatives of the party child, parents of the guests etc. can be seated at the party table at a cost of £9 per person, per hour - this must be agreed and paid for in advance when booking the party.  Alternatively they may like to book a table and paint their own pottery items - this has happened a few times!  All guests must remain seated at all times, this is a Health & Safety issue.  Any breakages must be paid for at the time.

• Activity provision: a Hands-on Art staff member will: meet & greet and settle the guests at the activity table at the booked time; introduce the pottery painting activity; advise on use of tools and suggest techniques appropriate to the chosen item; explain the firing process so that the guests understand they will not take their painted pottery home with them at the end of the party; remain on hand to answer questions and make more suggestions throughout the activity; clear the table(s) of all pottery, tools and equipment at the end of the activity while the guests wash their hands.

• All party activity items are subject to availability at the time of booking.

• Please be aware that other customers are allowed in the Studio to paint and/or collect while your party is in progress.

• Party Food: Self-catering is not possible.  Picnic boxes must be pre-ordered and paid for no later than 14 days before the party - this payment is not refundable beyond this date.  You are welcome to bring Birthday cake if you have booked Food Option 1, no cake smash designs or sparkler candles please!  The cake will be presented to the guests by the party organiser before the picnic boxes are handed out, to enable the party organiser sufficient time to cut the cake whilst their guests are eating.  Health & Safety: Please do not bring the following hazardous items to the Studio: cake knife, matches - we will provide these for you.  Guests will be seated at the same tables provided for the activity - these tables will be cleared and cleaned at the end of the activity while the guests wash their hands.

• Collection of party pottery: your fired pottery will be ready for collection two weeks after your party date. It is the responsibility of the party organiser to collect all party items and distribute them to their guests.  We can only keep your items for a maximum of One Month after the collection date, after which time we will assume you no longer want your items and will dispose of them for you.

• We quality check every item when it comes out of the kiln, before we pack it ready for you to collect.  You are very welcome to unpack your pottery in the Studio before taking it home.  Unfortunately we cannot be held responsible for any damage that occurs to your pottery items once they have been taken from the Studio.

• Health & Safety: Running is not permitted at any time due to the furniture set up in the Studio and displays of ceramics - regrettably all breakages and any damage of any sort must  be paid for in full by the party organiser. Pottery painting is a seated activity.

• Health & Safety: We are respectfully asking that any party guests who have cold, flu or Covid symptoms - or have been in contact with anyone with these symptoms - does not attend the party out of respect for everyone's safety, visitors and staff.  We have a washroom for customer use at any time during your visit and to remove paint from your hands at the end of your activity with soap and hot water.  Thank you for your support in this matter.
