Group Booking Terms & Conditions

These Terms & Conditions are at the discretion of Hands-on Art Adventures and are subject to change at any point, without notice, to ensure the smooth planning, organisation and running of your booked activity.

  • Bookings are only confirmed on receipt of a £12pp deposit and a contact phone number.

  • The £12pp deposit is non-refundable to cover cancellation and disbursement costs. By paying the deposit you have agreed these Terms & Conditions and therefore the Invoice Contract.

  • The deposit reserves your table at your preferred time on your preferred date.

  • The deposit is deducted from the total cost of the item(s) painted by your group, as one balance payment (details below).

  • Additional Terms & Conditions for Bookings Out-of-Hours or at External Venues can be found below.

  • Alterations to increase the group size require as much notice as possible and are subject to availability, dependent on existing Studio bookings. A £12pp deposit is required to add guests to the original group booking - before the balance payment deadline if items are pre-ordered and the balance invoice will be re-calculated at that point. Additions after an agreed balance payment deadline must be paid for in full at the time of addition.

  • Balance payment for pre-booked item activities eg. " Paint & Pass" are due no later than 14 working days before the activity.  Failure to pay the balance by the due date will result in automatic cancellation of the activity and the date & time will be made available to other booking enquiries.  Interest will be charged at 5% pcm for late payments.

  • There is a minimum spend of £12 per person.

  • "Paint it Your Way" or "Who Knew" activities: the balance for individual pieces that cost more than £12 each will be due at the time of the activity, as one payment on behalf of the group.

  • Deposit and Balance payments can be made as follows:

  • in person at the Studio during our opening hours (see Calendar) otherwise: please request Bank Transfer details; or a SumUp payment link sent to your phone by text message, or email.

  • Written Cancellation of the booking is required no less than 14 working days in advance of the scheduled booking, resulting in loss of the deposit only.  Cancellation within 14 working days will incur full payment for the group number specified on the most recently updated booking invoice.  Individual team members no longer attending and declared within the 14 working day period, or unable to attend on the day, are considered cancellations and must be paid for as per the most recently updated booking invoice.  In the unusual event of Hands-on Art Adventures cancelling an activity booking, an alternative date will be offered or a refund of monies paid to date.

All groups are allocated a specific time period to accommodate other bookings:

  • Each booking includes use of the table, Studio equipment & facilities for up to 2hrs maximum. At this point the table must be vacated for the next booking.

  • Please ensure your guests/colleagues arrive and leave promptly. Groups/Activities which over-run the allocated time are contractually obliged to pay a rate of £30 per half hour (not pro-rated), payable at the end of the activity, as this will impact on other bookings - it is only fair that we are allowed sufficient time to prepare the table for the next group, in the same way that we will be prepared for yours.

  • All pottery painting items are subject to availability on the date of the booked activity eg. "Paint It Your Way", unless pre-ordered eg. "Paint and Pass".

  • Hands-on Art will only fire ceramic items purchased from the Hands-on Art Studio and painted with our glazes.

  • Regrettably, all breakages must be paid for at the time.

  • Please be aware that other customers are permitted into the Studio to paint and/or collect painted pottery while your activity is in progress.  Collection is permitted even if you have hired the Studio for exclusive use.

  • Refreshments: please do not bring your own hot drinks from another establishment - hot chocolate, squash, a wide range of teas and coffees are available for purchase during your visit to the Hands-on Art Studio.  Food cannot be brought onto the premises as Hands-on Art is not a catering establishment and cannot dispose of food waste. Refreshments must be paid for at the end of the activity/added to the balance payment, as one payment by the group organiser.

  • Alcohol is permitted to be brought to the premises for adult consumption (adults deemed 21+). However, restrictions apply: eg. MAXIMUM per adult consumption: two glasses of wine/ one bottle between 2 or equivalent eg. two small bottles of beer per adult. This is a Health & Safety matter and also out of respect for other visitors and our residential neighbours. We can provide glasses if requested in advance, please note breakages will be added to the group bill at the end of the activity.

  • Collection: your fired pottery will be ready for collection two weeks after your visit, as one package (you will be alerted before booking if collection will be affected by, for example, the annual Christmas holiday closure)

  • The exact collection date will be recorded on your invoice, or the SumUP payment receipt at the end of the activity sent to the group organisers phone as a text message. Therefore we will not send additional texts or email to say your pottery is ready.

  • Please present your receipt/invoice when collecting your fired pottery - this proves these items belong to you.

  • Fired pottery must be collected within three months of your visit, after which time we will assume you no longer want your items and will dispose of them for you.

  • We can arrange postage if requested at the time of booking. There is an additional fee for this service.

  • We quality check every item when it comes out of the kiln, before we pack it ready for you to collect.  You are very welcome to unpack your pottery in the Studio before taking it home.  Unfortunately we cannot be held responsible for any damage that occurs to your pottery items once they have been taken from the Studio.

Health & Safety: 

  • We are relying on each visitor to take personal and collective social responsibility by absenting themselves from the Studio if: they have Covid-19 or flu symptoms, have tested positive for Covid, or have been in close contact with someone who has since tested positive for Covid-19.

Additional Terms & Conditions for

Out-of-Hours bookings at the Studio:

  • Minimum group size: is 10; Groups falling under the minimum requirement will incur a charge of £12 per 'missing' delegate(s).

  • are subject to a £30 per hour surcharge (not pro-rated), payable on booking as part of the deposit. 

Bookings at External Venues:

  • Minimum group size for external venues/off-site activity bookings is 12.  Groups under 12 will incur a charge of £12 per 'missing' delegate(s).

  • Additional flat booking fee of £100 is applied to all external venues/off-site activities to cover: time spent packing up all required materials, equipment and ceramic items for the activity before departure from the Studio; unpacking and setting up at the venue for the activity; packing up after the activity; travel costs.
